Diagnóstico dos Conjuntos Documentais da Empresa Paraíbana de Abastecimento e Serviços Agrícolas - EMPASA

Abstract

The present paper aims to know the document sets of the Company of Supply and Agricultural Services of Paraíba - EMPASA, in relation to the production, volume, ways of archiving and conservation. For that, it was necessary getting acquainted with the legal and organizational structure of the institution; to identify the main activities that are developed in the sectors, as well as the main document types; and to appoint the general conditions and the characteristics of the document sets. The methodological approach was in charge of the systematization of the archival diagnosis, using research techniques such as interviews, survey of relevant legislation and the elaboration of a specific guide to know the document sets. Among other findings, the diagnosis showed that EMPASA has a significant volume of documents and 70% of them are inactive records. Although the document sets are not kept under the ideal conditions, they are relatively well conserved, and they need to be evaluated and organized. The diagnosis appoints that the institution needs to elaborate and adopt, as soon as possible, its document management policy.
